Terms and Conditions of Act One Stage and Screen

These Terms and Conditions ("Terms") govern the agreement between Act One Stage and Screen ("Act One", "we", "our", "us") and the parent or legal guardian ("Parent", "you", "your") of each enrolled student ("Student").
By completing an enrolment form, accepting a place or making payment for any class, workshop, private lesson or other activity provided by Act One Stage and Screen, you confirm that you have read, understood and agree to be bound by these Terms and Conditions.
These Terms remain in force for as long as the Student remains enrolled with Act One Stage and Screen unless terminated in accordance with Section 6 of these Terms.
2. ENROLMENT
2.1 A Student's place is confirmed only when an enrolment form or online booking through ‘Class For Kids’ has been completed and accepted by Act One Stage and Screen.
2.2 Places are allocated on a first-come, first-served basis and remain subject to availability.
2.3 Act One Stage and Screen reserves the right to refuse or withdraw an enrolment where it believes this is in the best interests of the Student, other students, staff or the school.
2.4 There is no registration or enrolment fee.
2.5 Completion of an enrolment form does not guarantee a place until confirmation has been issued by Act One Stage and Screen.
2.6 Waiting Lists: Where a class is fully booked, prospective Students may be placed on a waiting list. Places will normally be offered in the order enquiries are received, although Act One Stage and Screen reserves the right to exercise reasonable discretion when allocating places. Parents must accept an offered place within the timeframe specified by Act One Stage and Screen. Placement on a waiting list does not guarantee that a place will become available.
3. FEES AND PAYMENT
3.1 Annual tuition fees are divided into twelve (12) equal monthly instalments, payable throughout the calendar year.
3.2 Monthly payments are calculated to spread the annual cost evenly and are not based on the number of classes attended in any individual month.
3.2A Monthly instalments represent a payment plan for the annual programme and are payable regardless of the number of classes taking place in any particular month.
3.3 Fees remain payable during school holidays unless otherwise stated.
3.4 Payments must be made by the due date notified by Act One Stage and Screen.
3.5 Where payment is not received, Act One Stage and Screen reserves the right to suspend the Student's attendance until the account is brought up to date.
3.6 Any bank charges or failed payment fees incurred as a result of unsuccessful collections may be added to the Parent's account.
3.7 Act One Stage and Screen reserves the right to review and amend its fees annually. Reasonable notice will be provided before any increase takes effect.
4. SIBLING DISCOUNT
4.1 A discount of 10% on tuition fees is available for siblings attending weekly classes simultaneously.
4.2 The discount applies only to tuition fees and does not apply to workshops, private lessons or any other additional services unless expressly stated.
4.3 Only one promotional discount may apply to a Student at any one time.
5. INCLUDED WITHIN TUITION FEES
Unless otherwise stated, weekly tuition fees include:
Weekly classes
End-of-term showcases
Performance opportunities
Standard costumes supplied by Act One Stage and Screen
In-house film projects organised by Act One Stage and Screen
Optional trips, examinations, external competitions, merchandise or additional events may incur separate charges.
6. CANCELLATION OF ENROLMENT BY PARENT
6.1 Parents wishing to cancel a Student’s enrolment with Act One Stage and Screen must provide a minimum of one (1) calendar month’s written notice.
6.2 Notice of cancellation must be submitted in writing by email to Act One Stage and Screen and must include:
The Student’s full name;
The Parent or Guardian’s name; and
Confirmation that the Parent wishes to cancel the Student’s enrolment.
6.3 The notice period will begin from the date that written notice is received by Act One Stage and Screen.
6.4 Fees remain payable throughout the one (1) calendar month notice period, regardless of whether the Student attends scheduled classes during this time.
6.5 Where notice is provided during a Term, the Student’s enrolment will continue until the notice period has been completed and all applicable fees due during that period have been paid.
6.6 Parents wishing for a Student’s enrolment to end at the conclusion of a Term must provide at least one (1) calendar month’s written notice before the intended final date of attendance.
6.7 Where a student withdraws due to exceptional circumstances, including serious illness, relocation or other significant personal circumstances, Act One Stage and Screen may consider an alternative arrangement, credit or pro-rata refund at its discretion in accordance with Section 7 (Refunds, Credits and Exceptional Circumstances).
6.8 Failure to provide the required written notice may result in fees remaining payable until the required one (1) calendar month notice period has been fulfilled.
7. ATTENDANCE AND MISSED CLASSES
7.1 Regular attendance is important to ensure that each Student receives the full benefit of their training and can participate fully in productions, showcases and group activities.
7.2 If a Student is unable to attend a scheduled class, the Parent should notify Act One Stage and Screen as soon as possible.
7.3 Fees remain payable regardless of whether the Student attends a scheduled class, including absence due to illness, holidays, personal commitments or any other reason outside the control of Act One Stage and Screen, except where Act One Stage and Screen agrees otherwise in accordance with Section 7 (Refunds, Credits and Exceptional Circumstances).
7.4 Act One Stage and Screen is unable to offer refunds, credits or replacement classes for missed sessions due to Student absence.
7.5 Where a Student misses a class, Act One Stage and Screen cannot guarantee that the Student will receive additional tuition to cover missed material.
8. CANCELLATION OR CHANGES TO CLASSES
8.1 Act One Stage and Screen will make every reasonable effort to deliver all advertised classes and activities.
8.2 Occasionally, classes may need to be cancelled or amended due to circumstances outside of our reasonable control, including but not limited to:
Staff illness;
Venue closure;
Severe weather;
Government restrictions;
Safety concerns;
Other unforeseen circumstances.
8.3 Where a class cancellation occurs due to circumstances outside the reasonable control of Act One Stage and Screen, including but not limited to severe weather, venue closure, staff illness or other unforeseen circumstances, Act One Stage and Screen will make reasonable efforts to provide an alternative arrangement. Where this is not possible, any refund or credit will be considered in accordance with Section 7 (Refunds, Credits and Exceptional Circumstances).
8.4 Where a class has been cancelled in advance due to a planned closure or arrangement made by Act One Stage and Screen, a replacement session will be provided where possible.
8.5 Act One Stage and Screen reserves the right to change teaching staff, venues, class times or programme content where reasonably necessary.
8.6 Parents will be notified of significant changes as soon as reasonably practicable.
9. REFUNDS, CREDITS AND EXCEPTIONAL CIRCUMSTANCES
9.1 Tuition fees are charged to secure and maintain a Student's place and are therefore non-refundable except where expressly stated in these Terms or where required by applicable law.
10. WORKSHOPS, PRIVATE LESSONS AND ADDITIONAL ACTIVITIES
10.1 Separate booking arrangements and fees may apply to workshops, holiday programmes, private lessons, masterclasses and special events.
10.2 Places on additional activities are subject to availability.
10.3 Payment must be received before participation unless an alternative arrangement has been agreed in writing.
10.4 Cancellation terms for workshops, private lessons and special events will be confirmed at the time of booking.
10.5 Private lessons cancelled with insufficient notice may remain chargeable.
11. PERFORMANCE, SHOWCASES AND FILM PROJECT
11.1 Act One Stage and Screen may provide opportunities for Students to participate in showcases, performances and filmed projects.
11.2 Participation in performances is encouraged but may require additional rehearsals outside normal class times.
11.3 Act One Stage and Screen will make reasonable efforts to include Students in performance opportunities; however, participation cannot be guaranteed.
11.4 Casting decisions, where applicable, will be made by Act One Stage and Screen based on the requirements of the production, suitability of roles and the educational needs of the Students.
11.5 Parents acknowledge that performing arts education includes learning about teamwork, auditions, preparation and accepting creative decisions.
11.6 Standard costumes required for Act One Stage and Screen productions are included within tuition fees unless otherwise stated.
11.7 Additional optional items, such as merchandise, photographs, tickets or external opportunities, may incur separate charges.
11.8 Participation in auditions, external productions, competitions, showcases, castings, agency introductions or other professional opportunities is not guaranteed.
11.9 Act One Stage and Screen makes no guarantee regarding examination results, casting success, representation by agents, professional employment or future career progression.
12. BEHAVIOUR AND STUDENT CONDUCT
12.1 Act One Stage and Screen is committed to creating a positive, respectful and inclusive environment.
12.2 Students are expected to:
Treat teachers, staff and other Students with respect;
Follow instructions;
Participate positively;
Respect the venue and equipment;
Avoid behaviour that may harm or upset others.
12.3 Bullying, harassment, discrimination, threatening behaviour, violence or deliberate disruption will not be tolerated.
12.4 Act One Stage and Screen reserves the right to discuss behavioural concerns with Parents.
12.5 Where behaviour is considered unacceptable or presents a risk to others, Act One Stage and Screen reserves the right to suspend or terminate a Student's enrolment.
12.6 In such circumstances, fees remain payable up to the date termination takes effect.
13. PARENT RESPONSIBILITIES
13.1 Parents are responsible for ensuring that:
Enrolment information is accurate and complete;
Emergency contact details remain up to date;
Medical information is disclosed;
Fees are paid on time;
Students arrive appropriately prepared;
Students are collected promptly after sessions.
13.2 Parents must inform Act One Stage and Screen of any circumstances which may affect a Student's participation, wellbeing or safety.
13.3 Parents are expected to communicate respectfully with staff and support the values and policies of Act One Stage and Screen.
14. HEALTH, MEDICAL INFORMATION AND SAFETY
14.1 Parents must provide details of any medical conditions, allergies, injuries, additional needs or relevant information during enrolment.
14.2 Parents must notify Act One Stage and Screen promptly of any changes to medical information.
14.3 Students participate in activities at their own risk and must follow all safety instructions provided by staff.
14.4 Parents should seek appropriate medical advice where they are unsure whether their child is fit to participate.
14.5 Act One Stage and Screen will make reasonable adjustments wherever possible to support Students with additional needs.
14.6 In the event of illness, injury or emergency, Act One Stage and Screen will contact the emergency contact details provided.
14.7 Parents authorise Act One Stage and Screen to seek appropriate medical assistance where necessary if urgent treatment is required.
15. COLLECTION AND LATE COLLECTION
15.1 Parents remain responsible for students until they are accepted into the care of Act One Stage and Screen staff and after they have been collected following a session.
15.2 Students must be collected promptly at the end of each session.
15.3 Persistent late collection may result in additional charges. Details of any applicable late collection charges are available on request and may be amended from time to time.
15.4 Students must only leave with authorised adults unless written permission has been provided.
16. PHOTOGRAPHY, FILMING AND PUBLICITY
16.1 From time to time, Act One Stage and Screen may photograph or film classes, rehearsals, performances or events.
16.2 Such material may be used for:
Website content;
Social media;
Marketing materials;
Promotional activities;
Educational purposes.
16.3 Parent consent will be requested regarding the use of identifiable images or recordings of Students.
16.4 Parents and visitors must not photograph or film other Students without appropriate permission.
16.5 Act One Stage and Screen reserves the right to record performances or projects for archive and educational purposes.
17. DATA PROTECTION AND PRIVACY
17.1 Act One Stage and Screen collects and processes personal information in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.
17.2 Information collected may include:
Student details;
Parent contact information;
Medical information;
Emergency contacts;
Consent information.
17.3 Information will only be used for legitimate purposes connected with the operation of Act One Stage and Screen.
17.4 Personal information will not be shared except where:
Required by law;
Necessary for safeguarding;
Required to provide services;
Consent has been provided.

18. INTELLECTUAL PROPERTY
18.1 All teaching materials, scripts, choreography, exercises, resources and creative content created by Act One Stage and Screen remain the intellectual property of Act One Stage and Screen unless otherwise stated.
18.2 Students may not reproduce, distribute or commercially use Act One Stage and Screen materials without written permission.
18.3 Act One Stage and Screen retains ownership of recordings, promotional materials and creative content produced as part of its activities.
19. PERSONAL PROPERTY
19.1 Students are responsible for their own belongings.
19.2 Act One Stage and Screen accepts no responsibility for lost, stolen or damaged personal items.
19.3 Parents are encouraged to clearly label personal belongings.
20. COMPLAINTS PROCEDURE
20.1 Act One Stage and Screen aims to provide the highest standard of service and welcomes constructive feedback.
20.2 Any concerns should first be raised directly with the Principal.
20.3 Complaints should be submitted in writing and include relevant details.
20.4 Act One Stage and Screen will aim to acknowledge complaints promptly and respond within a reasonable timeframe.
20.5 Complaints will be handled fairly, respectfully and confidentially.
21. LIMITATION OF LIABILITY
21.1 Act One Stage and Screen will take reasonable care to provide safe and appropriate activities.
21.2 Act One Stage and Screen shall not be responsible for loss, damage or injury except where caused by negligence or breach of legal duty.
21.3 Nothing in these Terms limits liability where such limitation is prohibited by law.
22. CHANGES TO THESE TERMS
22.1 Act One Stage and Screen reserves the right to update these Terms and Conditions from time to time.
22.2 Parents will be notified of significant changes.
22.3 Continued attendance following notification of changes will constitute acceptance of the updated Terms.
22.4 Where a Force Majeure event prevents normal face-to-face delivery, Act One Stage and Screen may provide alternative arrangements, including online delivery, rescheduled sessions or credits where reasonably practicable. Refunds will only be provided where required by law.
23. GENERAL
23.1 These Terms, together with the enrolment form and any additional booking information, form the entire agreement between Act One Stage and Screen and the Parent.
23.2 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force.
23.3 Failure by Act One Stage and Screen to enforce any provision shall not constitute a waiver of that provision.
24. GOVERNING LAW
24.1 These Terms and Conditions are governed by the laws of England and Wales.
24.2 Any dispute arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
